1. Who we are

Exled Golf Ltd, trading as Exled Golf, is the controller of personal information collected through www.exledgolf.com and our business enquiries and customer relationships. We supply products and services exclusively to businesses. Information about identifiable business contacts is still personal data.

You can contact us at sales@exledgolf.com, by telephone on +44 (0)1453 756 361, or at Topaz House, Unit C, Brunel Court, Stroudwater Business Park, Stonehouse, GL10 3SW, United Kingdom.

2. Information we use

We collect the information you provide when you enquire, request a quotation, place a business order or contact us for support. This may include your name, business or venue name, position, business email address, telephone number, preferred contact method, enquiry and correspondence. For quotations, orders and projects, we may also need business addresses, delivery and site information, billing and payment records and relevant technical requirements. Please do not include unnecessary sensitive personal information in an enquiry.

Our website and its service providers may process technical information such as IP address, browser details, security logs and information about use of the site. The technologies and choices relevant to the website are explained in our Cookie Policy.

3. Purposes and lawful bases

Where we rely on legitimate interests, we consider the effect on the individuals concerned and balance those interests against their rights. You can ask us for further information. Fields marked as required on an enquiry form are needed to handle that enquiry effectively; if information is not provided, we may be unable to respond or provide the requested service.

4. Marketing and contact preferences

A preference for a phone or email response to an enquiry tells us how you would like us to deal with that enquiry. It is not, by itself, consent to receive ongoing promotional communications.

Marketing to corporate subscribers and marketing to sole traders or certain partnerships are subject to different rules. We will obtain consent where required or use a permitted exception only where its conditions are met. You may object to direct marketing at any time by using an available unsubscribe option or emailing us. We may keep a minimal suppression record to respect your choice.

5. Sharing and service providers

Personal information may be shared where necessary with providers supporting website hosting, forms, email, IT, security, business administration, delivery and project services; professional advisers; and public authorities where legally required. Access and use should be limited to the relevant purpose. A recipient may act as our processor or as an independent controller depending on its role. We do not treat every recipient as acting solely on our instructions.

If a third-party CAPTCHA or other external service is enabled, relevant technical information may be processed by that provider for its service and security purposes. Any additional notices or choices required for that integration will be provided where applicable.

6. International processing

The location of processing depends on the providers and services used. Where our use of a service involves a restricted international transfer, we must ensure that a lawful transfer mechanism applies, such as applicable UK adequacy regulations or appropriate contractual safeguards, together with any required assessment. Contact us for information about the safeguards relevant to your data. We do not make a blanket promise that all processing remains within the UK or EEA.

7. Retention and security

We keep personal information only for as long as necessary for its purpose, including relevant legal, accounting and dispute requirements. Enquiry records are assessed according to the enquiry and any resulting business relationship; order and financial records follow applicable record-keeping requirements; and marketing preferences are retained as needed to respect your choices. Retention is not automatically six years from the end of every customer relationship.

We use appropriate technical and organisational measures to protect personal information and restrict access according to business need. No online system can be guaranteed completely secure. We will address personal data breaches and notify individuals and the regulator where the law requires.

8. Your rights

Depending on the circumstances, you may have rights to access, correct or erase personal data, restrict its use, object to processing and receive portable data. Where consent is the basis, you can withdraw it without affecting earlier lawful processing. You have an absolute right to object to processing for direct marketing.

Email us to exercise your rights. We may need proportionate identity checks or clarification. We will respond within the applicable statutory time limits, normally one month, and explain any lawful extension, pause, refusal or fee. We do not charge routinely for rights requests.

9. Complaints

If you have a concern about our handling of your personal information, email sales@exledgolf.com, use our Contact form, or write to the address above. Please explain the concern and how we can contact you. We will acknowledge a data-protection complaint within 30 days, investigate appropriately and inform you of the outcome without undue delay. You also have the right to complain to the Information Commissioner’s Office.

10. Other websites and updates

External websites have their own privacy arrangements. We review this notice when our processing changes; the date above identifies this version. This policy concerns personal data and applies to business contacts as well as other identifiable website visitors.
